General Cover Letters

This article is all about the guidelines attached to general cover letters and how exactly are they to be written. Any job application, necessarily, include your resume, certificates to ascertain certain facts, and a cover letter. A cover letter is nothing but a brief introduction about yourself, stating explicitly, your most important achievements, together with, in the most certain tone, your confidence surrounding the assumption that if given a job, you will be able to perform and fulfill all the responsibilities involved in it, with utmost care and the most successful results.

One may wonder that why exactly a cover letter is needed, when one could put all the aforementioned details in the resume itself and give it to the recruiter for his/ her reading and analysis purpose. But, let this fact be very conspicuously known here, through these words, that the very purported reason of a cover letter is to address the recruiter, in a more personal tone, with the reason of applying for the job and convincing him about the same. The language and the structure being simple, to say the least, it is written in such words and salutations that, as if, you yourself are addressing the recruiter in person. A cover letter, thus clear from this statement, is drafted as in a peculiar language, the very language and tone that you must have used if met the recruiter yourself.

For all kinds of jobs under the sky, the recruiter, on a daily basis, tackles hundreds of thousands of job applications sent his way by the means of email. These job applications contain long resumes running into multiple pages (though a resume should be short-one or two pages, at max) that the recruiter has to, painstakingly, go through. In each resume, there can be details about certain quality or experience that could be very beneficial to the recruiter’s company; he has to keep his eyes open and keep looking for such details. In this scenario, it is recommended that in addition to your resume, you send a brief about yourself separately; this brief is called cover letter. By going through a cover letter, that shall not take more than 2-3 minutes of the recruiter’s time, a recruiter can derive a fair idea about you and your skills, and that whether you are suited for the particular task in the particular company or not. This is to be written to facilitate a better filtration process.

Following are certain guidelines that need to be followed while writing your cover letter, and even more so, when you know that your accumulated skills and experience are best suited for the job in question.

  • Address and contact details- Always make sure at the start of the cover letter that these details are most accurate. This will facilitate ease of further correspondence.
  • Letter body division- The entire body of this letter is to be divided into minimum of three paragraphs, where the division will be as follows:
    • First paragraph- About you seeing the job ad (name the newspaper, website, etc., where you saw the job ad) and expressing your interest in this opportunity.
    • Second paragraph- About your USP and that key experience and skill that is/ are most coherent to the duties involved in the job in question. You could also mention certain important names with whom, or for whom you have worked before.
    • Third paragraph- Here, you reiterate your interest in this post and confirm to meeting the required standards if given the chance. Also, mention the way in which you could be reached, in case the recruiter decides to give you an interview call. Mention the preferred time, if you choose to be contacted via phone call.

These are the certain guidelines that you need to follow while writing your cover letter. Remember to mind the length here; this one point being stressed here again and again, confirms of its importance. Also, you could refer to certain kinds of cover letter examples before you actually sit down for drafting your own cover letter. Though, these guidelines have been written in general terms here, their application is pertinent to any kind of a cover letter.
