A product complaint letter is written by a customer to the seller or the manufacturer about a faulty product. No one can guarantee a perfect piece. No matter how good the brand is, there may sometimes be a minor or a major fault with it. You may be unsatisfied with the product and want the company to know about it. Following are a few steps to help you write an effective product complaint letter.

  • Start with a gist of the problem. Give the complete detail of your product- the purchase date, place, date and time of purchase, model no., bill no.
  • Include your name and contact information for further correspondence
  • You need to address the letter to an official who has an authority in the case, preferably the customer service department head
  • Elaborate on the problem and write how exactly the product has malfunctioned
  • Also state whether or not the product is still under warranty Communicate clearly how the company can address your problem- be it compensation, product replacement or a free repair.

Subject- Complaint about faulty Zen Tablet (TabPro-2.0)

Dear Claire,

I have been a regular buyer at your store since last 2 years. Recently, I bought a Zen tablet from your store which has turned out to be defective. I have already spoken to your customer care people but their response hasn't been very encouraging.

I made this purchase from your store last weekend. The details for the same are as follows:

Date of purchase- 4th October,'11

The problem is that when I connect try connecting my new TabPro to Wi-Fi, the system freezes and then automatically switches off. One has to again switch it on only to face by the same problem again. Now, using internet on the go was one of my primary needs behind buying this tablet. So understandably it's very heart-breaking to find out that the very feature is not working properly. One more problem that I am facing with it is that of its screen brightness. Even if I turn it to full bright, the display still seems to be dark and dull. I have even tried adjusting the contrast but nothing seems to be helping. On 9th October,'11 i.e. yesterday, I spoke with your customer care executive who said that I will have to take the product to the company's service branch. But the issue is that Zen doesn't have any branches in our city of Montana and so this entire affair is just too perplexing for me.

Now I don't wish to get it repaired. Instead I would appreciate a product replacement at the earliest as this would save me time and a trip to the other city to get to their customer service branch. My product is under 3 years' warranty and so I don't see any problem in getting a replacement since this is a manufacturing fault. I would request you to facilitate this replacement and communicate to me the earliest date of delivery of the replacement.

This is a letter requesting a replacement of a faulty product. Sometimes the manufacturing company has no office in your current city. In such a case, you can give back the faulty product to your retailer and request for a replacement or directly write to the company for that matter.
