Service with a smile! This motto is hardly used by the service providers anymore. Today, if you get such a treatment, you should consider yourself lucky. From shopkeepers to air hostesses, from cable operators to restaurant waiters, this problem is no more a problem because it has begun to seem normal, given the high-stress conditions and long working hours.

This kind of behavior is a result of a sudden surge in the hospitality industry in the absence of basic hospitality training. This is a specialized field actually and it's not everyone's cup of tea. So an average waiter from your across the road restaurant won't know about the basic etiquettes of hospitality. But this is not customers' problem. As far as they are concerned, they are paying for the food and they deserve a good service.

We all have faced such situations in a restaurant when we got served bad food, expired cold drinks or the wrong order. Also we have had our share of bad waiters encounters or slow service. What do you do when faced with such circumstances? Should you just settle the bill and leave, never to visit again? Or should you call the manager or write to the even higher authority regarding the problem? Writing a letter always helps as it can be documented as a proof in the staff meetings by the concerned person and hence action could be taken to prevent such issues in the future.

Subject- Complaint about poor birthday arrangements and bad food

Dear Norman,

I write to you with the intent to express my sorrow and disappointment towards The Woods' quality of food and service. I last visited The Woods on 20th September, '11 with some friends around 8.30 pm to celebrate my friend's birthday. The details are as follows:

But as soon as the celebrations started the unfortunate events started to unfold.

We had pre-booked the table at The Woods two days before, i.e. 18th September '11 and had ordered for a 2 kg chocolate cake. To our great disappointment, on our arrival, the waiter told us that the cake will take some more time for delivery. On this account, we waited for an hour but the cake never appeared. No satisfactory explanations were provided, not that any explanation would have made up for our disappointment. With half the celebration spoiled, we proceeded to the snacks part but again a glitch surfaced at your end. We ordered for chicken wings but in return we got an over-roasted chicken, not worth eating. As if this was not enough of a disaster, the main course also came along as being equally disappointing. Though we had ordered an assortment of different vegetarian dishes for dinner, they all tasted one and the same. Also the oil content in them was too much to handle. Add to this the extremely slow service that your staff provided us with. It took us a whole 3 hours to get out of the restaurant after coming in.

I just wish that these things hadn't happened especially on our dear friend's birthday eve. Such bad memories on such special occasions tend to last longer and discourage people from visiting the same place ever again. I hope you take some strong steps to prevent such distasteful events from occurring again in your restaurant. Also please do make the concepts of hospitality clear to your waiters who just seemed indifferent and disinterested when we asked them about anything. Such inhospitable behavior is neither in the best interest of the customer nor your restaurant. I hope strict actions will be taken as soon as possible. Thank you for your time.
