Condolence letter format is the letter which is written for giving sympathy and support on the death of someone in a known family. Condolence letter is a very formal letter, which is difficult to be written. This letter is a heartfelt gesture; it helps in giving a kind of emotional comfort to the members of the family suffering from the tragedy. This letter can be written in such a manner that it inspires hope amongst the family members. These letters should be written with a lot of cautiousness, as it revolves around very sensitive issue of some ones death.

There are few points which should be kept in mind while writing a condolence letter, these points are listed below:

  • Always write a letter which is short and simple, a longer letter will be more painful for the one reading it, and the family associated with the tragedy has many letters to read, and then answer them. It will be very difficult for them to manage time and read a long letter.
  • Make sure that you send the letter as soon as possible, do not delay in sending the letter, ideally it should be sent within a week of the death.
  • Offer your condolences, and show a little bit of sympathy. Do not over do with shoeing sympathy as that might be annoying.
  • Explain your relationship and terms with the person who died. Mention all that you felt for the person who died, like respect, or admiration, and that you will be missing that person throughout your life.
  • Avoid sending typed condolence letters; it is always better to send a handwritten condolence letter, as it helps in showing your concern and emotions better.
  • Offer your support and ask if they ever need any help from you. Make them feel you will always be there for them in their good and bad times.

Dear Roger,

I am writing this letter with a really heavy heart. I give my deepest sympathy to you and your family. I felt miserable and sad when I got to hear about this shocking news. My heart almost sank when I heard that Mrs. Taylor, who was a wonderful lady, is not amongst us anymore.

I had the honor to know your mother, and it was a pleasure to know her. She was a great human being and had a pious soul. She was very helpful and kind always. I am very sorry that she passed away. I still have a lot of respect for Mrs. Taylor, and will miss working with her at office. She will be missed for her great sense of humor; everyone at work is really upset about the news.

Please let me know if there is anything that I can do, during this difficult span of time. I will be praying for you and your family, God will surely take away all your grief soon. Be strong and stand by your family.

With deepest sympathy
Rachael Marks
