Credit Card Transaction Letter

A credit card transaction letter is drafted to the account holding bank branch or a credit card issuing company in order to dispute over suspicious activities on your credit card account and apparently cancel an unauthorized transaction. As we all know, many people experience situations wherein a certain amount of money has been charged to their credit card account without prior authorization from the credit card issuing authority. In such cases, you as customers have the right to dispute over such transactions which if proved to be illegal will be cancelled. Remember, they will not bother to investigate these transactions on their own unless you raise your concern by writing to them; the reason being most of the time, they are not aware that these are unauthorized transactions.

Another case when you need to cancel a cc transaction is when you find out that your credit card is lost or stolen and there has been a charge on your account which you are not aware of. Here, you need to call the credit card issuing authority straightaway and block your card and then move on to request cancellation of charges by drafting a credit card transaction cancellation letter.

Often there are occasions when you swipe your card while purchasing something and may be change your mind later on and return the product that you just purchased. In such cases, usually the retail outlet ensures that you do not get charged for the returned product. But sometimes, in spite of assurance from the outlet you still tend to get charged for it. And in such cases, the issue is resolved if you just call and inform them. But at times, the problem still persists. And that is when credit card transaction cancellation/ dispute letters come into picture.

The third scenario where you feel the need to draft a credit card transaction letter is when you have made a payment towards your credit card charges but it does not reflect on your credit card account statement. So, in this case, you need to write a letter to the credit card issuing body along with your bank statement as a documental evidence for your payment being made.

Although these letters are quite easy to write, you may feel a little lost while writing one. Following are a few similar occasions wherein you may need to draft such a letter:

  • Multiple charges for the same purchase
  • Transaction amount is more than what you promised to pay
  • A refund amount has not yet been credited onto your account
  • A refund amount has been charged as a purchase to your account
  • A cancelled reservation was still charged even though you did it within the cancellation period
  • Charged for goods not delivered or services not rendered

Re: Unauthorized charges on my credit card statement

Dear Mr. Black,

I am hereby reporting an unauthorized transaction of $97.48 that showed up on my account statement dated October 5th, 2011. There is a charge on 27th September towards Randall Furnishings that I have no record of. I did not use my credit card at all between 24th and 29th of September and did not hand over my credit card to anyone else. As you can see, there is only one transaction between that period and that is the charge that I am disputing.

I spoke with Mr. Martin Hayes the other day who promised to look into the issue although he asked me to draft this letter addressed to you. I believe this is merely a mistake on your side and has got nothing to do with fraud. If this is a fraudulent charge, then I would be quite worried as I am not at all comfortable with someone else getting access to my account. I hope you find out the root cause of the issue so as to prevent it from happening again. Hoping that, desired action be taken ASAP.
