A donation follow up letter is written by a fundraising organization to the people and organizations where a donation letter has already been sent. This letter is aimed at enquiring about the status of the request and to reiterate the cause for which this donation is required. It is also used to stress upon the importance of the work for which this donation is required.

Often, a follow up letter has to be written to bring forth the important points and the very request to the memory of the reader who might forget to reply to the first letter. This happens because the receiver is too busy with daily work and has read it and by mistake forgotten to reply back. In any case, be it a business follow up letter or a charity follow up letter, it is important to bring forth the important points of the cause to the reader's attention.

These letters are usually written by NGOs and other such social service organizations that serve the interests of the community. Irrespective of the cause or writer, the letter should re-sensitize the reader to your cause and bring him close to the reality that will justify his monetary help for the cause. Subject- Follow up on our donation letter

Dear Albert,

I hope this letter finds you in best of your health and the spirits. I am writing to you to bring to your attention the details about our upcoming anti- AIDS outdoor mobile campaign. We have sent you our donation request letter on the 11th of November'11 requesting for your kind contribution for our cause. I am writing to confirm with you, your participation in the event.

First of all, HOPE is very grateful to you for your continued support in the past to our cause of fighting against this vicious disease AIDS and spreading awareness all over. Your help and kind gestures towards our work are commendable and we can't thank you enough for it all.

We have a long way to go before we win this battle and in the lieu of this fact, HOPE is organizing an anti- AIDS outdoor campaign next month. Through this campaign, we would visit various towns and countryside near New Jersey and promote awareness about AIDS among the people through seminars and short classes. These classes will be free and for 1 hour each. Free blood tests would also be conducted. For this, we have already tied-up with the local hospitals. People should know that today AIDS is the number one enemy of humankind and the only way to defeat it is through proper education and precautionary measures.

In the first paragraph, in brief, state the exact date of the last correspondence between you both along with the topic of discussion. This is done to refresh the reader's memory. In the subsequent paragraph, the writer gives a brief description about the work for which the donation is required. In the first and second paragraphs, the writer poses a question, rather in a statement form, if and how much the donator wishes to donate. Use very subtle words for this as it should not look like as if you are bluntly asking for money. Praising the person for his previous donations and voluntary work forms an important part of such a letter.
