A Client farewell letter is written in order to say goodbye in a very formal manner to your client before you leave the organization. This is done basically to inform the client that his account will be handled by other personnel from the organization since you are leaving the workplace. It is a good business ethic to draft a farewell letter to your client as it shows your professionalism and maintains the relationship between the client and the organization. It is advisable to hand-write your farewell letter, after a concluding phone call, as the client feels valued by the personalized goodbye.

Your client farewell letter must include -

  • The reason for leaving your current organization or terminating the business relationship with the client. Make sure you keep the reason impersonal

  • The date of termination which is ideally not sooner than 1 month so as the client gets enough time to make necessary arrangements

  • Contact details of the personnel you are handing over the client's account to look after or any emergency contact details in case the business is about to shut down

  • If your business is about to be shutdown, you should at least recommend another company that will suit the client's needs and if possible, refer the client to the company itself

  • Thank the client for their contribution in the growth of your business

Client farewell letters play a significant role in building a company's relationship with the client and thereby adding to the company's goodwill.
