A business introduction letter is a kind of letter written by the business managers to the prospective customers with the sole purpose of introducing them to the company's new products and services. It is a sales promotion strategy. There are two kinds of business introduction letters:

  • Business to business introduction letter
  • Business to customer introduction letter

A typical business to customer introduction letter is in the form of direct mail, addressing the customer by his/ her full name. It should not exceed more than one page and information should be to the point. When required, you can attach an information catalogue or a brochure along with it.

The prospective customers are found out by a market research done by the company and building up a database. Then based on the customers' past shopping preferences, these letters are sent to their postal addresses or mailed online.

But there is big chance of your letter going straight away into the trash bin as happens with all the unsolicited letters. The receiver may be receiving many more such letters along with the newspapers, magazines etc. You need to grab the attention of the customer within the first five seconds of opening up the envelope. For this, your letter should be different and appealing along with being relevant.

Write it to the point and right away introducing the reader to the new product or service that you are offering will be effective. The tone of the letter needs to be formal and yet, it should feel like you yourself are addressing the customer. Any additional information in the form of brochures or catalogues or customer feedbacks can be included in the envelop. Also do send along a business card for the customer to contact back. Also it would be a nice idea, before sending in a letter, to call the client/ customer informing them of the relevance of the new product or service along with its benefits.
