We have heard of many letters, but one letter which not everyone would be aware of, or be competent enough in writing, is a personal introduction letter, or a self-introduction letter. We have to write this letter in different situations. People usually make it look like a copy of their resume. What is a self-introduction letter?

It is a letter that helps you break the ice and communicate with others by introducing yourself. Introduction is not just one's name, it is more than that. This letter is aimed at introducing oneself completely, such that others understand everything about you. It answers many questions like -

  • Where are you from?
  • What is your educational background?
  • What are your hobbies?
  • Who is there in your family?, etc.

All such questions need to be answered by your introduction letter. It is like a brief autobiography of a person, which gives information about the person's academic, professional and personal life.

When is this letter used?

This letter is written in many different situations like -

  1. Career switch
  2. New job
  3. Working with a new team
  4. Working with a new set of clients, etc.

Usually, when one joins a new job, it is a common practice to write a self-introduction letter. It gives one a chance to introduce himself/herself to the colleagues, clients, etc.

Why does one need to write this letter?

When one joins a new workplace, his/her colleagues or the people who would be associated with him/her in future, are curious to know about the person. Some might approach you, and ask you many questions, while some might hesitate to do so. This is a simple way of communicating with everyone, and answering all the asked and unasked questions.

What should be included in the letter?

There is no set format for this letter. This is completely at the writer's discretion. Since the letters are written for the colleagues, bosses, etc., it has to be written in a formal letter format. In some cases like introducing yourself to a rock band group that you join, your letter could be informal. However, informal introductions are mostly verbal. Thus, this letter is usually a formal letter.

There are two types of introductions letters. Depending on the type, one can decide on the content of the letter.

1. Compulsory Formal letter:

This will pertain to professional information and academic details only

2. Formal-Informal/Free writing:

This letter would cover a wider range of information ranging from personal information to professional life

However, some important information that your letter should include is as follows:

  1. Personal details:

    Greet the audiences and begin the letter with your name and designation that you are appointed at, in the organization. In a professional set up, it is advisable to not give much importance to personal information that is not related to your work. After introducing yourself, give a brief introduction of where you have worked before, and what led you to take up this new job.

  2. Brief description of the professional and educational background:

    After introducing yourself, speak about your career, work experience, and qualifications. Explain your interest in the field, and what made you take up a career in this field. Mentioning about achievements and extra curricular activities in brief would make the letter interesting.

  3. Your career goals:

    Do not exaggerate or make statements, which would make your boss feel, that you wish to take his/her position. Mention your career goals in a way that would help others understand why you chose to work with them, and how would it benefit the organization.

  4. Conclude:

    Conclude the letter by thanking everyone for having read the same, and provide your contact number and email address so that they can reach you.
