We usually celebrate our birthday with family and friends. We throw parties for our loved one's colleagues, bosses, etc. When we plan such parties, we need to invite everyone for it. Thus, we need to write birthday party invitation letters. These letters are addressed to the invitees, giving them the information about the date, time and venue of the party.

The birthday party invitation could be a formal invitation or an informal invitation. A formal invitation is sent to invite people for a formal party such as, the birthday party of a boss, politician's birthday party, a client's birthday party, etc. In such cases, the invitation is precise and generalized. The invitations are precise in an informal party invitation as well. One cannot write a 1-2 pages long invitation. The only difference in a formal and informal birthday party invitation is that former has to be written with proper salutations, subject line, etc., so that the reader can get a clear idea about the letter, by reading the subject line.

Just like any other letter, these letters also have a clear body structure. When we write any formal letter like a cover letter for a resume, we divide the body of the letter in different sections. Same applies to the invitation letters.

Writing an invitation letter:

In case of a formal invitation, mention the name and address of the host, followed by the name and address of the invitee. Subject line should read 'Invitation for the birthday party of Mr. _____.' In case of informal invitation, you can directly start your letter and exclude the subject line. The body of the letter should be segregated in three paragraphs such as -

  • Inform - Inform the reader about your purpose of the letter. You can begin the letter as follows -

    'Dear Sheryl,

    I am glad to inform you that on 27th December 2011, my son would complete 4 years and turn 5. Every year we celebrate his birthday at St. Louis Church followed by a party at our place.'

  • Second part of the letter should extend the invitation. Inform the reader that you wish him/her to be a part of this celebration. A simple example would be as follows - 'On this special occasion, I would like to invite you for a party at our residence. It is a small celebration with family and friends and you are a part of the same.'

  • Mention the time and venue clearly. Some people mention the time and venue at the end of the letter, which is also correct. Mention, the date, time and venue in clear letters.

  • Next is the closing of the letter. Express your hopes of invitation acceptance by the invitee. Statements like - 'I hope you will come for the party and be with us in our moments of happiness.'

  • You expressed hope but also let the invitee know how you would feel if he/she accepts your invitation and comes for the party. A simple line such as - 'We would be highly obliged with your presence in the party.' This simple sentence would make the reader feel that his/her presence will make you happy, and thus motivate him/her to attend the party.

Mr. Hans is associated with JFC, for the past 20 years. In his presence, the staff of the company feels like a family, and he overlooks everything like a family head. On his 50th birthday, we have decided to thank him and make him feel how special he is to the organization.

We request you all to attend the party with your families, and add to the happiness of Mr. Hans.
