As the HR, you would need to write a job invitation letter on behalf of the company to the newly hired recruits officially informing them of their appointment. This communication affirms the company's intention to hire the individual subject to fulfilment of all criteria and to furnishing all the necessary documents. A job invitation letter is an important care and should be framed with great care as it can be legally binding and can be quoted by the employee in court if there are any discrepancies between what was promised and what is being delivered. Therefore it may be a good idea to create a template and modify it as per individual requirement.

Some guidelines to help you draft a job invitation letter:

  • Always use official company letterhead: This is an important communication and an official letterhead adds to the professional authenticity
  • Begin by going straight to the point and clearly state the name of the company and the designation offered
  • Summarise what the position entails and explain in brief the duties involved
  • Be very clear and forthright about the pay package and make sure there is no mistake in the figure quoted
  • Give all details about the probation period if any and state when his/her employee will be upgraded to permanent
  • Include details about all the benefits like health insurance, medical leave, vacations, child care facilities, retirement etc
  • Leave a specified place for the recipient to sign and show acceptance of terms and conditions You just need to refer to the sample job invitation letter provided to get some pointers about how to frame your own.
