Party Invitation Letter

Parties are an integral part of our lives. We party with our friends, colleagues, bosses, etc. Some parties are organized merely for the sake of fun and celebration, while some others are organized for building good relations with clients, social networking, etc. Thus, each one of us attends some or the other parties. However, we come to know about these parties when we get invitations for the same. To invite guests for the party, people usually send out invitation cards or party invitation letters.

A party invitation letter is written with a simple aim - to invite the reader for the party. The invitation is meant to inform the person, that he/she is invited to the party. Besides this, the letter gives other information like -

  • Reason of the party
  • Venue
  • Date
  • Time
  • Theme, and
  • Some mandatory conditions like carrying the invitation while coming to the party, etc.

The parties could be formal or informal. Formal parties or business parties as we say, need a more sophisticated invitation. The invitation for normal parties varies from that of a formal or business party.

Formal invitation letter:

To invite your colleagues and clients for the party, you need to write an invitation letter. Formal invitations should be written in a formal tone. The outline of a formal invitation will be as follows -

  • Date
  • From - Name of the host
  • To - Name of the invitee
  • Subject - 'Invitation for the party held on ________, at ______'
  • Salutations - Dear Mr. _____/Ms._____
  • Opening of the letter - Introduction of the host
  • Body of the letter - Invitation, reason for the party
  • Body of the letter continued - theme, conditions, etc
  • Closing - Create an assurance of expecting him/her for the party
  • Mention the date, venue, time clearly in block letters

Informal Invitation letter:

An invitation letter for an informal party written and addressed to relatives, close friends, etc., need not be formal. The tone of the letter would be casual. Simple mention of the party, and the reason for the same, should suffice. The venue should be mentioned, and one should write one's personal contact number unlike the formal invitation, wherein only the official contacts are made available.

Invitation letters are used in place of age-old invitation cards sent out to the guests. Printing invitation cards is nowadays considered as an unnecessary waste of money. Moreover, sending it to everybody via postal mail, or giving it to them personally is not possible and feasible. Thus, these letters provide an apt solution. The letters can either be sent via postal mail, or more conveniently via email.

By the way, I have not forgotten your choice and will make sure you get your favorite drink and dinner served to you on time here at the party. I have tried to accommodate everyone's choices. Since the party is over the weekend, you guys can stay here at my farmhouse, and we can enjoy the whole weekend together.

Jerry, no opting out this time. Everybody is in, and I want you to be with us this time. You missed the last get together but promised to be with us the next time.
