Significance of a proper resignation

Resignation Letters are formal notices written to the organization by their employees in order to inform them of their resignation from the organization. It is necessary that you leave an organization on a positive note and a prudent resignation letter will ensure that you maintain a good relationship with your employer even after you resign from the company. You must realize that you may need their help in future for providing references of your previous employer, usually asked by an employer when you apply for a job vacancy.

How should your resignation letter be?

Your resignation letter needs to be professional, brief and polite. You must realize that your resignation is a bridge between the current job and your next job, so make sure you build a strong one by keeping your resignation letter positive. Regardless of the reason for your leaving the organization, your resignation letter should reflect courtesy and sincerity.

Contents of a resignation letter

Your resignation letter must contain your reason for leaving the organization (it is advised that you keep it impersonal) and your last working day within the organization depending upon the minimum notice period set by the company. Be sure to mention how you liked being a part of their team and mention a few positive aspects of work environment and how it helped you to acquire adequate knowledge that helped you grow within your field of interest. In case you are quitting your previous job to join another job that you have already secured, you may mention details of your new job profile if you wish to.

Few points to be kept in mind while drafting your resignation letter

  • Restrict your letter to one page only

  • Restrain from writing anything about the job that might show your dissatisfaction with your current employer

  • Do not use your company letterhead for writing your resignation letter for a resignation letter represents you as an individual and it has got nothing to do with your company although the resignation letter is an official document

  • Thank your current employer for giving you an opportunity to grow within the organization

I, Ryan J. Toner, would like to resign from the position of Site Engineer from Sand and Paving Inc as of December 10, 2011.

I am moving to Chicago after Christmas to pursue my career in constructions and further develop my skills that your company has helped me acquire, where I have secured a job in Gilbane Building Constructions for the position of Site Superintendant. I will be having my induction programme in Gilbane on January 4, 2011 after which I will be expected to start my work from 9th January.

I would like to use this opportunity to thank you for giving me the opportunity to progress within your organization while developing my skills within my field of interest. I found working with your team very exciting as well as motivating.

Working in your prestigious organization for 3 years has definitely been rewarding for me in terms of acquiring knowledge as well as developing my interpersonal skills. Although I am looking forward to join Gilbane soon, I will certainly cherish all the memories of working in Sand and Paving Inc.
