Every country has its own slab for retirement. Usually at the age of 60, an individual retires from his professional responsibilities. Post this retirement, he can work, but it depends on his need and will. Some specific jobs do not allow individuals above the age of 60 to work with them, and make it a compulsory retirement age for them. Although an individual retires, he has to notify about the same to the management. This notification is termed as the notice period. Thus, an employee who is about to retire, has to send his retirement resignation letter, and serve the required notice period.

What is a retirement resignation letter?

As mentioned above, this letter is written by an individual who is about to retire. Before retiring, the employee has to serve a notice period. The letter will thus notify the management that a particular employee is about to retire, and thus, they would find a substitute for the said position during the notice period served by the employee. This resignation letter might not be compulsory for all organizations, however, in some organizations, it is mandatory. Thus, one must know how to write these letters.

How to write a retirement resignation letter?

According to the explanation given above, it is clear that this letter is a formal letter. Thus, this letter should be drafted as per the formal letter writing guidelines. The format of the letter will be familiar to any formal letter. Let us discuss the same step by step.

  1. The letter should never be handwritten. All formal written communication should be either typed using a typewriter, or should be printed. A handwritten letter is no good in formal communication. The letters used in formal communication are not only used for communicating something, but also serve as a record. Thus, these letters need to be drafted with utmost care, and should be typewritten or printed.
  2. The letter should be addressed to the concerned person. After working with an organization for such a long time, one must know whom the letter should be addressed to. Usually the letter has to be sent to the Human Resource Executive/Manager, and a copy of the same to the immediate boss. Thus, one has to draft a letter accordingly. Also, one must know whether the resignation letter is accepted via email, or a hard copy of the same has to be submitted. If it is accepted via email, one can mark a copy to the immediate boss, and send the letter to the HR department. Thus, mentioning the name of the concerned person is important.
  3. Begin the letter by mentioning the name and designation of the person to whom the letter is addressed to, followed by your name, designation and department.
  4. A subject line will clearly mention the purpose of the letter. This line has to be clear and to the point. A simple example would be – 'Retirement resignation letter'
  5. Begin the letter with proper salutation. Dear ____ (mention the last name of the person)
  6. In the first paragraph, mention the purpose of the letter.
  7. In the second paragraph, mention the notice period that you would serve, and your last date of working
  8. End the letter by requesting the reader to accept the resignation, and thank the reader for reading the letter
  9. Sign the letter
  10. Mention the documents enclosed with the letter (if any)
