The sales team, pitch the clients and sell the products and services to the clients. Some products and services are such that the salesmen pitch for the same at the point of sales; however, some are such that the Sales Executive would need a specific time, and explain about the products and services to the clients; for example, insurance policies, food processors, or schemes and offers, etc. In such situations, the Sales Executive needs to fix an appointment with the client and, thus will have to write a sales appointment letter. This is applicable in both corporate sales, as well as domestic sales. What is a sales appointment letter? A letter written by a Sales Executive (SE), and addressed to a client, requesting him/her to give an appointment, so that the SE can meet him/her in person and explain the product/service/scheme/ offer/plan, etc., is known as a sales appointment letter. This method is usually replaced by the phone call. Many a times the SE calls up the person, and fixes an appointment. However, in some situations, only a written request is accepted, and so, this letter is essential. When does one need a sales appointment? As mentioned above, this letter is applicable to both domestic and corporate sales. When one has to explain a sales proposal, a scheme, new product or service, etc., to some Purchase Manager or any other concerned official in a particular organization, the SE will have to take an appointment. He cannot just land up in that person's office, and start pitching the product or service. Similarly, when it comes to individuals; some SE might want to explain an investment plan or a policy to some client, he should take a prior appointment before reaching that person's office or home. This is not only a good etiquette, but also feasible. One saves time and cost by fixing an appointment. If one does not fix an appointment and directly goes to that person, he might not get a chance to meet or talk to that person, and thus will have to return empty handed. This leads to unnecessary cost. How to write a sales appointment letter? This is a formal letter. All the guidelines of formal letter writing will apply to this letter. The letter will be precise, include proper addresses, proper salutations, give the required information, and also enclose all the required documents. The letter will have a simple subject line like - 'Request for an appointment' One can add to it by mentioning the reason/purpose of the appointment, but avoiding the same is beneficial. Mentioning something related to sales pitch in the subject line, would at times de-motivate the reader to read the letter.
