Every product or service in the market faces immense competition. Thus, a client has many options to choose from. In such immense competitive environment, the client will judge a certain product or service based on two factors – quality and cost. Thus, before zeroing on a certain product or service, the organizations request for quotes. It is also known as a sales proposal. A well-written sales proposal is thus essential to get in new clients and retain the existing ones. The Sales Executives, even without getting such requests, keep sending sales proposals to their clients regarding some new schemes, products, services, etc. A letter sent along with the main proposal, which gives an idea of the proposal to the reader and creates an interest in the reader regarding the proposal, is known as a sales proposal letter.

What is a sales proposal letter?

A sales proposal sent to a client is usually accompanied by a sales proposal letter. This letter gives the client a brief idea of the proposal, and helps him understand the key benefits of the proposal. The proposal sent without this letter would be less effective, and also look incomplete, because it does not put forth any explanation. Since the Sales Executive is not present there in person to explain the proposal and prove how beneficial and lucrative it is, this letter becomes essential. The sales personnel can explain and present their proposal in the best possible manner, by writing an effective sales proposal letter.

Purpose of a sales proposal letter:

This letter is useful in both the situations – first when a proposal is requested by the client, and secondly, when it is sent to pitch the client.

When one sends a sales proposal, one has to speak about the same and explain why this specific proposal should be selected over the other proposals. Thus, preferably one must send a letter along with the sales proposal. The letter gives the Sales Executive the scope to justify the proposal, make it look more lucrative and beneficial.

Format of a sales proposal letter:

Since this letter is written for business communication, it should be printed or typed, or the letterhead of the organization, and will definitely be a formal letter.

The letterhead bears the organization name and address, and thus, the person sending the letter has to mention only his name, designation held in the company, and contact details on the left hand side below the letterhead text.

After a tab's space, the name and address of the person to whom the letter is addressed is mentioned. The letter should be addressed to a specific person. In case, the name of the person is not known, one must find out the name of the person, and address the letter to that specific person.

The subject line of the letter is very important, and should be very effective. The reader at times, on reading the subject line, decides whether he would read the letter further.

The salutation of the letter will include the last name of the person.

If the client is new, the Sales Executive will first have to introduce him and his organization, and then speak about the proposal. For an existing client, the Sales Executive can directly speak about the proposal.

The second paragraph will elaborate on the proposal further, and would try to convince the client that this proposal is the best that the client can get.

Mention all the documents enclosed with the letter, and end the letter by thanking the client.
