Business Thank You Letter

A business thank you letter is a pleasant way of showing your gratitude to someone who has extended his/ her help to the cause of your business. These thank you letters are considered a gesture of appreciation in all walks of life the only difference being, a business thank you letter needs to have a formal language.

Following are a few tips to be kept in mind while drafting a business thank you letter:

  • Use direct letter format- Write directly to the person who facilitated your work and thus helped you. In doing so, ensure that you use his/ her correct name and designation. There should absolutely be no mistake in the names

  • Use your company letterhead- For formal purposes, which it is, use the company letter head to write the letter

  • Keep it short

There are many situations on which you can write a thank you letter:

  • After an employment interview- A thank you letter is written by an interviewee to the interviewer at the company thanking him/her for their time which they spared to meet you and take your interview. Writing such kind of letter may improve your chances of getting through the interview

  • Someone providing you with some important business contact- Some time, a business head of one business may require some important information or contact of someone else that the employee/ manager of some other company may provide. Writing a thank you letter is common business etiquette in such cases as the individual has gone out of his way to provide you with that information.

  • Someone referring a potential customer to you

  • someone helping you out in establishing your own business- Someone might help you with the infrastructure or setting up of the office

If I may emphasize on it, the business space which you had suggested to me last week has been approved by the management. It has turned out to be strategically a very apt location for situating our car wash business. The area is primarily residential. So obviously there will be a lot of clientele for our service.

Also the contractor whose contact you had shared with me, has quoted a decent figure for the renovation work of the place. I appreciate the fact that how difficult it is to set up a business in a completely unknown and new place and without the proper help, it becomes further more difficult in starting it up. Notice the language and length of the letter. Use of formal language is important here. Also it is important to keep the letter short and crisp so that the reader doesn't get bothered to complete reading a long story. Appreciate the value of his time.
